Key Responsibilities

· Patient Scheduling & Communication:

o Manage patient appointments using our online system, including confirmations, reminders, and rescheduling.

o Act as the clinic’s first point of contact, responding to calls and emails with professionalism and empathy.

· Documentation & Records Management:

o Prepare and track patient intake forms, consent documents, and follow-up questionnaires.

o Maintain accurate, HIPAA-compliant patient records to uphold confidentiality.

· Administrative Support:

o Perform data entry, digital file organization, and other tasks to support clinic efficiency.

o Manage inventory for clinic supplies, coordinating with vendors to maintain optimal stock levels.

· Billing & Insurance Assistance:

o Verify insurance coverage, process billing inquiries, and assist with claims submissions.

o Ensure accurate financial recordkeeping for all transactions.

· Marketing Assistance:

o Collaborate on social media content and campaigns to promote our services and educate the community about ketamine therapy.

o Share patient success stories (with consent) to raise awareness and inspire others.
